ARTIFICIAL INTELLIGENCE POLICY

  1. Purpose and Scope

Abdi Dosen : Jurnal Pengabdian Pada Masyarakat supports the responsible, transparent, and ethical use of artificial intelligence (AI) in scientific publication. This policy applies to authors, reviewers, editors, and journal managers in the preparation of manuscripts, research, review, and editorial processes. The use of AI must be under human supervision and does not absolve responsibility for the accuracy, originality, confidentiality, and integrity of scientific work.

  1. The Use of AI by Writers

Writers can use AI to assist with language editing, translation, code generation, or research activities that are transparently described. All AI outputs must be reviewed and verified by the author before being included in the manuscript.

The author is responsible for ensuring that:

  1. Statements, data, calculations, and interpretations are accountable.
  2. The references cited are genuinely available and support the related statements.
  3. The manuscript does not contain plagiarism, fabrication, falsification, or copyright infringement.
  4. The use of AI does not disclose personal data, sensitive research data, or confidential information without appropriate permission.

  1. AI and Authorship

AI cannot be listed as an author or co-author because it cannot fulfilll authorship responsibilities, approve publication, or be accountable for the content of the manuscript. All responsibility for the manuscript, including parts created with the help of AI, remains with the human authors.

  1. Disclosure of AI Use

The use of generative AI to produce or modify text, code, images, or analyzes must be disclosed in the cover letter of the manuscript submission and within the manuscript. The disclosure must at least include the name of the tool, provider, version or access date if the version is not available, purpose of use, sections assisted, and verification steps by the author.

The use of AI in research methods must be explained in the Methods section with sufficient information to assess and reproduce the process. The use for writing or editing can be stated in the AI Usage Statement section, before the bibliography. Basic spell checking and automatic reference management do not require a specific statement if they do not produce substantive content.

Example of a statement regarding the use of AI:

“In preparing this manuscript, the author used [tool name, provider, version/date of access] to assist with [purpose and sections assisted]. All output has been reviewed, verified, and edited by the author. The author assumes full responsibility for the accuracy, originality, and integrity of the manuscript.”

Example of a statement indicating no use of generative AI:

“The author declares that generative AI was not used in the preparation of this manuscript.”

  1. Prohibited Uses

Abdi Dosen : Jurnal Pengabdian Pada Masyarakat prohibits the use of AI for:

  1. Creating fictitious research data, citations, references, or experimental results.
  2. Manipulating research results, images, or evidence in a way that is misleading.
  3. Disguising plagiarism or using another person’s work without attribution.
  4. Generating scientific content without the author’s review and accountability.
  5. Leaking confidential information or personal data.
  6. Manipulating the peer review process or creating fake reviewer identities.

  1. AI-Generated Images and Data

AI-generated images, illustrations, or synthetic data must be clearly labeled and must not be presented as original empirical evidence. If AI is part of the research methodology, the author must explain the data sources, tools or models, processing procedures, validation, and limitations. Synthetic data must be clearly distinguished from data obtained through observation or experimentation.

  1. Use of AI by Reviewers

Reviewers are required to maintain the confidentiality of manuscripts and conduct scientific evaluations independently. Reviewers are prohibited from uploading manuscripts, portions of manuscripts, tables, figures, supplementary data, or review reports containing confidential information to public AI services or services that do not provide confidentiality guarantees approved by the journal. The use of AI to assist with the review process is permitted only after obtaining the editor’s approval and using tools that have been deemed safe by the journal. Such use must be disclosed to the editor. Reviewers remain responsible for all evaluations and recommendations provided.

  1. Use of AI by Editors and Journal Administrators

Editors and journal administrators may use AI to assist with administrative tasks, format checks, and language editing while maintaining confidentiality and verifying the results. Before processing manuscripts with AI, the journal must assess data storage policies, the use of data for model training, third-party access, and the protection of confidential information. Any use involving the transfer of manuscripts to third parties must be disclosed to the relevant parties and approved where necessary. Decisions regarding the acceptance, revision, or rejection of manuscripts must be made by the editor based on scientific evaluation and ethical considerations. Such decisions must not be delegated entirely to AI.

  1. Review of Alleged Violations

The results of AI text-detection tools should not be the sole basis for declaring a violation or rejecting a manuscript. Editors must evaluate other evidence, review the manuscript’s content, and provide the author with an opportunity to explain the writing process. The disclosed use of AI that complies with this policy is not grounds for rejection. Evaluations remain based on scientific quality, appropriateness of scope, and the integrity of the manuscript.

  1. Handling of Violations and Objections

Alleged violations are addressed through an examination of the evidence and requests for clarification from the parties involved. Actions are tailored to the nature, severity, and impact of the violation. Actions may include requests for revisions or additional disclosures, rejection of the manuscript, publication of a correction, a statement of concern, or retraction of the article if there is sufficient grounds. Violations by reviewers or editors may result in the termination of their assignments and an evaluation of their involvement with the journal. Parties subject to a decision may file an objection through the journal’s official contact channels. Objections are reviewed by an editor who was not directly involved in the initial decision.

  1. Implementation and Evaluation

This policy is effective as of [effective date] and will be reviewed periodically in light of developments in technology and publication ethics. Changes to the policy will be announced on the journal’s website.

By submitting a manuscript or accepting an editorial assignment, authors, reviewers, and editors acknowledge that they have read this policy and agree to comply with it.
